Procurement specialist
We believe Procurement is a vital business function at Tigo Finance. When managed timely and done correctly, it helps increase our business’s efficiency and profitability. We expect the same to be led by an experienced individual in the area with proven experience, who will be accountable for range of activities starting from: identification about which goods and services the company needs, consulting with department heads prior to sourcing, locating key suppliers than then assessing and selecting vendors. Once Sourcing phase is handled, then Purchase phase starts which includes negotiating of price and terms, creating purchase order, receiving, and inspecting the delivered goods and finally maintaining clean recordkeeping and assigning invoice to finance team for payout.
As an in-house Procurement specialist your mission will be to build an optimized Procurement process, directly communicate with new and existing vendors on behalf of department heads, as part of the Administration team.
Responsibilities:
- Identification about which goods and services the company departments need, meeting the quantity and quality expectations of the organization;
- Consulting with department heads prior to sourcing, then assessing and selecting vendors;
- Ability to apply critical thinking in every step during the sourcing process;
- Follow up and audit on realized purchases in the past, their delivery, durability, and warranty;
- Establish direct contacts, active correspondence and concise communication with suppliers, foreign and domestic vendors/partners;
- Negotiating and securing the best pricing, terms and delivery options for each product or service with vendors/partners and ensuring timely deliveries, in order to prevent material shortages or delays;
- Compare available goods with industry trends to determine appropriate pricing
- Pro-actively manage and update Company’s Procurement process in project management tool;
- Maintain highly organized structure of procurement related documents (purchase orders, agreements, invoices) and accurate goods recordkeeping;
- Track inventory and restock goods when needed;
- Proactively define procurement standards and/or procedures and adopt an annual, quarterly, and monthly procurement strategy for all departments;
- Research and propose software tools that can reduce procurement cost and administrative overhead by automating procurement processes;
- Bring up improvement points to Company’s management.
The ideal candidate will demonstrate:
- Minimum 1 year of work experience as procurement specialist, preferable in mid-size organization
- Experience in negotiation, preferably worked as sales representative in the past
- Knowledge of English and MS Office package
- Excellent organizational skills, attention to details and ability to present clearly
- Excellent communication skills and reliability
- Analytical thinking and working with a large amount of information
In this position, the employee is responsible to the Administration manager.
In this position, the employee is responsible for Indirect procurement that typically involves purchases of goods that are essential for day-to-day operations, from company’s facilities and all the way up to advertising campaigns, consulting services and equipment maintenance. Goods procurement largely refers to the procurement of physical items, but it can also include items like software subscriptions and other for various departments.
