3 Authorisations and responsibilities
The basic job task:
TM Systems Construction Project Coordinator is charged with all the activities during the facility construction project implementation – for all the active construction projects of all types of TM systems (ventilation, heating, air conditioning). He plans a thermo-mechanical system construction project (jointly with the facility construction operations manager), prescribes the Operating Rules in accordance with the relevant procedures, determines deadlines, workflow, and controls the work of employees. The TM Systems Construction Project Coordinator performs his work on the firm premises (compiling the TM Systems Construction Project Implementation Plan, assignment of duties to facility construction operations managers), premises at facility construction sites and the facilities themselves (the coordination of task performance, controlling work results and the implementation of the TM systems construction project, the correction of irregularities during the implementation of the TM systems delivery projects) as well as in meetings so as to create the best possible conditions for the implementation of the construction project. The TM Systems Construction Project Coordinator regularly notifies the Technical Director and the Director of the results of the aforementioned activities.
Authorisations and responsibilities:
- Familiarity with the content of contracts and proposals for every active construction site in terms of TM systems
- Inspection of every active construction site at least once a week, control of whether the delivery of systems is executed pursuant to the project, and timely implementation of measures in the event of irregularities during work performance
- Control and check of the quality of delivery of all types of work and the implementation of regulations, standards, and technical norms in accordance with the quality control lists created on one's own for each particular project
- Discussion, with each of the construction operation managers at the construction site, of all the on-going and planned operations, of the quality of subcontractors' work (in accordance with the quality control lists of performed works) and of technical issues – the work delivery schedule and analyses of planned and real duration of activities (real image is necessary for the sake of realistic comprehension and assessment of the duration of the future activities representing the basis of business negotiations)
- Participation in problem solving in cases when there are nonconformities in the interpretations of work item realisation
- Examination of the existence of proof of quality of the materials, equipment, and systems installed or fitted inside a facility and the existence of documentation attesting to the quality thereof (proof, certificate, report of tests, etc.)
- Control and check of the keeping and completion of quality control lists and quality control reports of TM systems works delivered
- Provision of necessary instructions to contractors in the event of deviation of the works performed from the project and assistance with the resolution of technical issues, issues pertinent to adherence to legal regulations, and adherence to prescribed procedures
- Regular following of TM systems delivery schedule and compliance with stipulated deadlines, drawing up and regular updating of a summary table for each of the construction sites, entering basic information into columns (contract, proposal, percent of work performance, urgent outstanding issues, engaged subcontractors and the duration of their engagement on the pertinent construction site, and the special analysis of regular employees so as to comprehend the capacity and occupancy)
- For the purpose of adhering to set deadlines and quality norms, cooperation with the Designer and the Construction Operations Manager on the construction site in order to ensure proper realisation of facility concept design, coordination and reconciliation of deviations from project solutions, resolving details not covered by the project – proposal of solutions and coordination during the resolution of details or, otherwise, prescribing a new technology for the delivery of certain work items that deviates from a project solution and preparation of an as-built facility project
- Cooperation with the Preliminary Engineering of a facility construction for the purpose of timely support for the realisation of a facility construction project
- During construction site inspections, communication with clients in order to gather information on their satisfaction and definition of the need to improve the realisation of business activities
- Drawing up a Weekly Report with a reference to all construction sites and pointing out therein positive and negative details in relation to each of them, warnings and suggestions for their resolution, work quality analysis, deadline-meeting analysis, project completion success rate analysis, suggestions for the implementation of stimulating and/or disciplinary measures in relation to contractors (in accordance with the Agreement)
- Holding mandatory weekly meetings with subcontractors and other project members (the health-and-safety competent person, the supervisory authority, etc.), for each separate project, for the purpose of better comprehension of project progress and the issues mostly associated with good/poor communication
- Regular writing into, entry, and archiving in an appropriate lever arch file of all the significant details for every construction site for the purpose of facilitating insight into details and following – these lever arch files should be available to the Technical Director and the Director
- Ensuring the compliance of the facility construction activities with the Integrated Management System (IMS) procedures containing authorisations and responsibilities for quality, environmental protection, health and safety at work, and social responsibility
- Defining proposals for improving business operations, organisation of operations, internal and external communication with all interested parties, and innovations of the firm
- Contribution to the implementation of business policies and strategies in accordance with the law and ethical standards
Externally:
Communication and cooperation in the field of TM systems with investors, suppliers, and associates, business partners, investors, and public institution representatives.
Responsibility for quality, environmental protection, and safety and health at work.
In accordance with the documentation of the Integrated Management System (IMS) and the Workplace and Working Environment Risk Assessment Document.
