Over the past 3 years the business has quadrupled, and the plan is to increase this speed of growth even further

Office & Finance Assistant

THE ROLE:

We are looking for a dynamic Office and Finance Assistant to join our company. 

You'll be in charge of ensuring the purchases are aligned with the office needs, oversee the clerical tasks, keep an inventory of office supplies and order new materials as needed
In this role, you'll work directly with the Office and Finance Manager helping him from time to time also with the financial transactions of our company, as well as process invoices, purchase orders, and payroll. 

WHAT YOU'LL BE DOING:

Office responsibilities:

  • Using a range of office software, including email, spreadsheets and databases.
  • Prepare documents, answer telephone queries and compiling and updating employee records (hard and soft copies)
  • Welcoming new employees and organizing initial onboarding and offboarding including preparation of technical equipment
  • Travel arrangements and communicate with public services when necessary
  • Up to date with maintaining an organized and comfortable office environment, ordering office supplies, and updating inventory.
  • Comply with company and office purchases when needed

Finance responsibilities:

  • Prepare expense reports, maintain financial files and records kept in the field office and enter data in financial spreadsheets.
  • Answer queries and provide solutions and information to customers on finance related matters via Hubspot/Email/Phone
  • Assisting in payroll, company bonuses, payments for overtime, credit control processes, budget planning, and expense analysis.
  • Maintain financial records and sending invoices in Xero platform
  • Identifying and reporting on 'Good Spend' vs 'Bad Spend'

REQUIREMENTS: 

  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Experience in Excel Spreadsheets.
  • Excellent analytical skills
  • Excellent written and verbal communication skills.
  • Organizational and time management skills.
  • Strong decision-making and problem-solving skills.
  • Great attention to detail.
