Background information

Swisscontact is hiring Project Assistant, for the project Modernisation for Sustainability and Decent Jobs (modernisation Project), funded by the Swiss development and cooperation.
 
Swisscontact was established in 1959 as an independent foundation by notable figures from the worlds of commerce and science in Switzerland. It is exclusively involved in international development co-operation and has carried out its own and mandated projects since 1961. Based in Zurich, Swisscontact currently employs over 1,400 staff worldwide and manages projects in 36 countries on behalf of public and private donors.
 
The Modernisation Project aims to facilitate the provision of high-quality consultancy services to businesses, to address their bottlenecks and pain points, and contribute to enhance productivity, modernisation and green transformation. 

The expected outcomes of the Modernisation project are: 

Outcome 1: Businesses strategically invest to increase their productivity and improve environmental efficiency.
Outcome 2: Strong and responsive business associations engage with consultancies and businesses to enhance modernisation.

The Project Assistant will be responsible to support the day-to-day operations on the Modernisation Project.    

Project Assistant

Overall objective of the Project Assistant:

The Project Assistant will provide administrative and operational support to the the Team Leader and the Programme leads, to ensure efficient implementation of the project activities. He/she will be responsible to coordinate various aspects of the project, including but not limited to scheduling, documentations, communication and logistics. The Project Assistant will manage project-related information and will ensure that project tasks are completed on time.  

Key responsibilities:

  • Organising meetings, maintaining records, managing project documentation.
  • Prepare and distribute project-related documents, reports and presentations.
  • Assisting with tracking project timelines and deliverables.
  • Maintain accurate project documentation and filing system.
  • Facilitating communication between project stakeholders and project team.
  • Assisting in organising events, workshops, and travel arrangements for project purposes.
  • Assist in preparing reports and presentations.

Key deliverables:

  • Properly maintained and updated project files, distributed project related documents and keeping an accurate and up-to-date records of project data.
  • Ensure all logistics for project activities are delivered on time.
  • Timely responses to stakeholder inquiries and distribution of relevant project information to all parties.
  • Ensuring that project data is well-organised and readily available for use.

Skills and qualifications:

Education:

  • Bachelor's Degree (or higher) in a relevant field such as Management, Social Sciences, Business Administration, or other.

Experience:

  •   At least 2 years of experience as project or office assistant, or other related experience on development projects.

Skills and Competencies:

  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work both independently and as part of a team.
  • Flexibility and adaptability to work in a fast-paced environment.
