Vibrant BPO is expanding its business and looking for a
HR COORDINATOR
Main duties / responsibilities:
- Manage the recruitment process by posting various jobs across multiple platforms, conduct and manage screening, interviews, compliance, and onboarding processes.
- Manage the HR platform, Prepare and distribute new hire welcome packs and necessary forms.
- Maintain accurate and up to date employee records in the HR system, Employment Hero (EH).
- Process employee status changes, such as promotions, transfers, and terminations, in a timely manner with appropriate documentation.
- Manage the organizational chart and employee directory.
- Assist in distribution and communication of all HR policies and procedures to employees.
- Assist in organizing and documenting training sessions.
- Responsible for all compliance documents in the HR systems.
- Ensure that confidentiality and professionalism are adhered at all times when dealing with employee information.
- Responsible for all HR administration, including but not limited to scheduling meetings, interviews, training sessions, update on all HR documentation, employee files, forms etc.
- Coordinate and assist the HR team leader in revisiting the organizational design annually to ensure the right organizational structure is in place to drive organizational success.
- Coordinate and assist the HR team leader in mapping out the employee journey for each team and implement appropriate working procedural documents
- Coordinate and assist the HR team leader in building a skills matrix of current staff and establish what skills are missing to ensure the success of the organizational strategy
- Coordinate and assist the HR team leader in creation of benefits and improved entitlements.
- Coordinate and assist the HR team leader in moving the Support Workers away from casual to part-time employment.
- Coordinate and execute the introduction of an award recognition program.
- Coordinate and assist the HR team leader in developing a culture that is professional, and client centered, one that celebrates success.
- Utilize the new Aged Care Quality Standards to maintain a client-centric culture that is founded on the principles of customer choice and control and customer outcomes.
- Coordinate and execute the professional development opportunities for high performing staff.
- Coordinate the working with the current organizational-wide Performance Management System, and move to embed it throughout the organization by way of probationary reviews, annual performance reviews and 360-degree feedback.
- Coordinate and assist the people leaders to formalize monthly supervision/1:1 and monitor staff performance against KPI’s Assist the HR team leader in annual team/department audits are executed, shortfalls are identified, learning are implemented, and process improvements take place.
- Assist the HR team to ensure that the employees take on agile methodology as part of dayto-day operations.
- Assist the HR Team leader in the coordination of Microsoft 365.
- Coordinate and assist the HR team leader in reviews all employee computers and updates hardware were necessary ensuring all are compatible.
- Staff are setup for success through the addition of tools and equipment, i.e., laptop signing ability via screens, portable printers etc..
- Coordinate the rollout of a front-line employees tool that help secure their safety and ensure all front-line employees have watch alarms.
- Any other support as required and requested by the Supervisor and/or CEO.
- Key accountabilities:

- The quantitative / qualitative evidence used to measure how well the KRAs have been achieved
- Manage the recruitment process by posting various jobs across multiple platforms, conduct and manage screening, interviews, compliance, and on-boarding processes.
- Follow established KPI’s and work plans and provide monthly reports.
- Ensure that all assigned tasks are accompanied by clear and concise reports.
- Implement the recruitment process and follow relevant procedures ensuring 100% compliance.
- Screen incoming resumes, conduct initial candidate assessment and schedule interviews.
- Coordinate interview schedules and communicate with candidates throughout the recruitment process.
- Take appropriate notes during the interviews.
- Communicate with the relevant teams of a potentially successful candidate within 24 hours.
- Conduct reference checks within 24 hours of successful interviews.
- Prepare and distribute new hire welcome packs and necessary forms.
- Communicate to the other teams in the communication of all new employees at least 10 days of the start date.
- Prepare, schedule and coordinate the induction sessions at least 5 days of the start date.
- Employee data management Ensure that confidentiality and professionalism are adhered at all times when dealing with employee information.
- Manage the organizational chart and employee directory in EH.
- Process employee status changes, such as promotions, transfers, and terminations, in a timely manner with appropriate documentation.
- Maintain accurate and up to date employee records in the HR system, Employment Hero (EH).
- Confidentiality is adhered at all times.
- Responsible for all compliance documents in the HR systems.
- Assist in distribution and communication of all HR policies and procedures to employees.
- All compliance is active and up to date at all times.
Qualifications
- HR Management, Human Resources (HR), and HR Policies skills
- Experience in benefits administration and employee relations
- Knowledge of creating and implementing HR policies
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Bachelor's degree in Human Resources or related field
- HR certification (e.g., SHRM-CP, PHR) is a plus
