Grants Administration Assitant in Skopje

Position: Grants Administration Assistant / full-time
Starting date: January 2025
Duration: 12 months with possibility of extension (including 6 months probation period)
Country Programme: Western Balkans
Base: Skopje, North Macedonia
Line Manager: Project Manager
Starting Gross Salary: 52,538.19 MKD - 55,112.99 MKD

About PIN in the Western Balkans

People in Need (PIN) started working in the region in the early 1990s to deliver humanitarian aid and has remained in the region since to support the region’s social and economic reconstruction and development. In the last two decades, PIN implemented projects supporting climate resilience and citizen engagement and minorities rights in the areas of waste management, circular economy, social inclusion, employment and inclusive education. About the project

In May 2024, PIN started with implementation of the 3-year project called Civil Society and Youth for Inclusive and Sustainable Development through Circular Economy in North Macedonia. The primary goal of this project is to guide North Macedonia towards a green, sustainable economy and resource-efficient growth, aligning with the European Green Deal.

About the role:

The project Civil Society and Youth for Inclusive and Sustainable Development through Circular Economy in North Macedonia includes grant scheme component for civil society, youth, and other actors working toward positive change in the city of Skopje.

Under the direct supervision of the Project Manager, the Grants Administration Assistant will support the PIN project team, in tasks related to awarding and administering grants, including ensuring that grant recipients are in compliance with PIN’s regulatory framework.

Duties and Responsibilities

  • Assist with collecting, reviewing, and verifying all financial and compliance-related documentation from grant recipients.
  • Assist Project Manager in tasks related to organizing public calls and other pre-award administrative tasks.
  • Liaise with grant recipients on a regular basis to ensure timely and accurate submission of all required documentation; seek and verify corrective action from grant recipients.
  • Assist the project team in monitoring implementation of grant recipients’ activities, including through field monitoring visits to the grant recipients’ activity locations.
  • Maintain and archive accurate and timely records (activity reports, receipts/invoices, means of verification, etc.) of all grant recipients’ activities.
  • Assist with collecting and analyzing data related to grantees.
  • Ensure that the grant folders are complete and up to date, under the guidance of Project Manager.
  • Support the procurement process by collecting and/or verifying relevant bids.
  • Provide logistical support to organize info days and grant’s schemes relevant events.
  • Assist with other administrative, procurement or financial tasks to support other project activities and office (in charge of cash register, bank payments, scanning of documents, archiving of documents)
  • Perform other duties as required.
  • Accountability and Safeguarding including Prevention of Sexual Exploitation, Abuse and Harassment (SEAH):
  • Carry out the duties in accordance with the PIN Code of Conduct and Key policies 
  • Participates in training and awareness raising (CoC and KP, Safeguarding, etc.).
  • Contributes to a fulfilling and protective environment.​

​​Requirements

Suitable candidates for this position should possess:

  • Minimum 1 year of experience administering grant schemes to local organizations.
  • Experience working for a development and/or humanitarian organization (NGO) will be a strong advantage.
  • Excellent communication skills, including fluent spoken and written Macedonian and English.
  • University degree in social sciences, finance, or another related field desirable.
  • Attention to detail and ability to proactively address potential issues.
  • Ability to form and maintain relationships through team work and networking.
  • Knowledge in MS Office software packages (MS Excel, Word, Outlook, etc.).
  • Strong organizational and time-management skills.
