Vibrant BPO is expanding its business and looking for a
INTAKE AND ROSTERING COORDINATOR
Main duties / responsibilities:
Schedule Management:
- Coordinate and manage the scheduling of client visits across all programs.
- Ensure that full-time and part-time workers are allocated visits in line with their contracts.
- Assign casual workers to visits according to their stated availability.
- Develop and maintain rosters that meet the needs of clients and maximize worker availability and efficiency.
- Adjust rosters as needed to accommodate changes in client needs, worker availability, or other unforeseen circumstances.
- Liaise with clients and workers to confirm visit schedules.
- Communicate any changes in schedules to clients and workers promptly and professionally.
- Work closely with program coordinators to ensure that all client needs are met and services are delivered efficiently.
- Maintain accurate records of client visits, worker schedules, and availability.
- Use the CRM to track and manage rostering and visit allocations.
- Compliance:
- Ensure all rostering practices comply with contractual obligations, and organisational policies.
- Monitor and report on key performance indicators related to scheduling and rostering.
- Any other support as required and requested by the CEO.
Qualifications
- Communication and Customer Service skills
- Experience in Case Management
- Knowledge of Medical Terminology
- Understanding of Insurance processes
- Strong organizational and time management skills
- Ability to work well in a team environment
- Experience with payroll administration is a plus
- Bachelor's degree in a relevant field is preferred
