Freelance EVENT Project Manager  

 

Role and Responsibilities​: 

Working together with the Account Manager and the Project Leader, the Project Manager will assist in the organisation, execution and administrative follow-up of meetings and events organised by Cecoforma. This includes, but not limited to:

  • Identifying, selecting and contracting the required logistical services for in-person, online and hybrid events and ensuring the quality thereof. 
  • Coordination of and cooperation with suppliers, sub-contractors and service providers.
  • Logistical organisation of meetings and events (travel arrangements; distribution and follow-up of invitations; venue and catering arrangements; hotel reservations; management and distribution of per diem, "conference kits" and badges; local transport; expert mobilization (interpreters, secretaries, hostesses ...); additional activities related to conferences etc.);
  • Liaising with clients on various matters related to preparation and implementation of events.
  • Liaising with participants and experts on travel and accommodation arrangements and other matters pertinent to the organisation of the event
  • Ensuring when applicable connections to the virtual platform. Organizing the needed test sessions of the virtual platforms with the experts and participants and attending events if so requested, in the case of hybrid or online events.
  • Preparing and dispatching information and visibility materials (e.g. agendas, badges, brochures, name plates, screensavers, promotional items, etc.)
  • Travelling and providing local assistance if necessary;
  • Administrative and financial follow-up in coordination with the finance team;
  • Providing support to other team members on various tasks;

Requirements: 
The ideal candidate has:

  • University degree;
  • 2-3 years of experience in events & communications projects. Knowledge of EU-funded projects will be an asset;
  • Strong organizational skills;
  • The ability to multi-task and prioritize;
  • The ability to work under pressure;
  • Liaison and relationship skills;
  • Good knowledge of online platforms (such as Teams, Zoom, Webex, etc);
  • Excellent English communication skills, spoken and written, any other language(s) would be an asset;
  • Understanding of basis financial processes (such as price comparison, budget calculation, etc)
  • A willingness to adopt a flexible working schedule;
  • The ability to work individually and as part of a team;
  • Availability to work on a full time basis if requested;
  • Enthusiasm, motivation, eagerness to learn and positive mindset
Additional Information:

Our main office is in Brussels, but this position will primarily involve working from home during first months and potentially from an office in Skopje on a later stage. In-person attendance for team meetings in Brussels will be required only occasionally.

The number of working days per month will vary based on the workload provided by clients. We are aiming at the full time engagement. At the same time, there are lighter workloads during the annual holiday periods.
