The Project Assistant will be responsible to support the day-to-day operations on the Modernisation Project.
Project Assistant
Overall objective of the Project Assistant:
The Project Assistant will provide administrative and operational support to the the Team Leader and the Programme leads, to ensure efficient implementation of the project activities. He/she will be responsible to coordinate various aspects of the project, including but not limited to scheduling, documentations, communication and logistics. The Project Assistant will manage project-related information and will ensure that project tasks are completed on time.
Key responsibilities:
- Organising meetings, maintaining records, managing project documentation.
- Prepare and distribute project-related documents, reports and presentations.
- Assisting with tracking project timelines and deliverables.
- Maintain accurate project documentation and filing system.
- Facilitating communication between project stakeholders and project team.
- Assisting in organising events, workshops, and travel arrangements for project purposes.
- Assist in preparing reports and presentations.
Key deliverables:
- Properly maintained and updated project files, distributed project related documents and keeping an accurate and up-to-date records of project data.
- Ensure all logistics for project activities are delivered on time.
- Timely responses to stakeholder inquiries and distribution of relevant project information to all parties.
- Ensuring that project data is well-organised and readily available for use.
Skills and qualifications:
Education:
- Bachelor's Degree (or higher) in a relevant field such as Management, Social Sciences, Business Administration, or other.
Experience:
- At least 2 years of experience as project or office assistant, or other related experience on development projects.
Skills and Competencies:
- Strong organisational skills with the ability to manage multiple tasks and priorities.
- Excellent written and verbal communication skills.
- Proficiency in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work both independently and as part of a team.
- Flexibility and adaptability to work in a fast-paced environment.
