We are currently looking for an:

OFFICE ASSISTANT

The Office Assistant provides administrative support to the Mall Director and the wider team, ensuring the smooth operation of daily tasks. This role involves handling communications, scheduling, document management, and other essential office functions to help the team stay organized and efficient

This role is ideal for someone who enjoys helping others, staying organized, and working in a dynamic environment with opportunities to support both the Mall Director and the broader team.

Job responsibilities:

  • Greet and welcome visitors, clients, and employees, providing assistance as needed.
  • Answer and direct phone calls in a courteous and professional manner.
  • Maintain a clean and organized front office area to create a positive first impression.
  • Assist with daily administrative tasks, including filing, data entry, and photocopying.
  • Manage and distribute incoming and outgoing mail and packages.
  • Plan and manage daily, weekly, and monthly cash inflows and outflows.
  • Assist the Mall Director in managing day-to-day operations.
  • Organize and maintain files, records, and documents for both the team and the Mall Director.
  • Prepare reports, memos, and correspondence as required.
  • Act as a liaison between the Mall Director, team members, tenants, and external vendors.
  • Schedule and organize meetings, appointments, and events for the Mall Director and team members.
  • Maintain the office calendar, ensuring all deadlines, meetings, and important dates are tracked.
  • Coordinate travel arrangements and accommodations for the Mall Director and other team members as needed.
  • Monitor and order office supplies and ensure office equipment is maintained.
  • Ensure the office is well-organized and operates smoothly, addressing any issues or needs as they arise.
  • Perform other job-related duties as assigned by the mall Director.

Required qualifications:

  • Bachelor’s degree in business preferred.
  • Minimum of one year of similar job position.
  • Proficiency in Microsoft Office and Outlook.
  • Strong analytical and problem-solving skills with a high degree of accuracy.
  • Ability to manage multiple assignments, meet deadlines, and work with minimal supervision.
  • Strong communication skills and the ability to work effectively in a team environment.
  • Proficient knowledge of the English language.
  • Self-motivation, initiative, and the ability to multitask.
  • Willingness to work occasional off-hours to ensure timely completion of mission-critical functions.
